Manage Clients

Where Sidebar Client Management Manage Clients

The client register. A business exists in Quillix because it was created here, and the details you set on it — engagement type, filing frequency, state — shape how every other page behaves for that client.

First
Two fields do most of the work: Engagement Type and GSTR-1 Filing Frequency. One decides which pages the client gets at all; the other drives every due date Quillix will ever show for them. Both can be changed later, but both are worth getting right at creation.

One row per client, showing its code, engagement type, business type, state, filing frequency and whether it is active. Three columns carry consequences.

  1. Engagement reads either Bookkeeping + GST or GST Filing only. That badge decides which pages the client gets.
  2. Filing reads Monthly or Quarterly, which drives every due date Quillix shows for that client.
  3. Status reads Active or Inactive. Inactive clients stay in this list but disappear from Load Client Data.
Note
Inactive clients are hidden from the client picker, not deleted. Nothing is lost, and you can reactivate at any time. A client somebody "cannot find" is usually deactivated.

Creates the client and everything that hangs off it. Name and Code are the only required fields; the rest can be filled in later by editing the row.

  1. Click Add and enter the client name and a short Code — 2 to 12 letters or digits, with dashes and underscores allowed.
  2. Enter the GSTIN if you have it. Quillix validates the 15-character format and refuses to save an invalid one, so a typo is caught here rather than at filing time.
  3. Choose the Engagement Type and the GSTR-1 Filing Frequency — see below.
  4. Fill in business type, state and city, then Save.
Next
The client is created active, and no users come with it. Your next step is Users by Client, to give someone a login for it.

Declares whether the client uses Quillix themselves or whether you work on their behalf. It changes which pages exist for that client.

Bookkeeping + GST
The client raises their own invoices in Quillix, and you take the finished data through to Tally and the returns.
GST Filing only
The client does not use Quillix at all. You paste their monthly invoice register in, and Quillix validates the GSTINs, classifies B2B, B2CS and B2CL, and reconciles it for GSTR-1.

Left unset, a new client saves as Bookkeeping + GST. A GST-only client gets a much narrower sidebar — see Compliance for exactly what they do and do not get.

Sets whether the client files monthly or quarterly. Every due date and countdown Quillix shows for that client is derived from this one field.

Monthly
Turnover above ₹5 crore, or a client who has opted out of QRMP. Due the 11th of the following month.
Quarterly
Turnover at or below ₹5 crore under QRMP. Due the 13th of the month after the quarter.
Get this right
Quillix never second-guesses this setting. Set it wrong and the tracker on Load Client Data will chase that client on the wrong date, confidently, every month.

Reopens the same form against an existing client. Every field can be changed after creation, including engagement type and filing frequency.

  1. Click the row to open it, change what you need, and Save.
  2. Changes take effect immediately — there is no separate publish step.

Two very different actions that sit next to each other. Deactivate is reversible and keeps everything. Delete erases the client and all of its data and cannot be undone.

  1. Use Deactivate for a client you have stopped acting for. The row stays here marked Inactive, all data is kept, and Reactivate puts it back.
  2. Use Delete only when the data itself must go — for example a client exercising a data-deletion request.
  3. Delete asks you to confirm, then permanently erases every customer, stock item, ledger, sale, invoice, purchase, expense, payment, bank statement and audit-log entry for that client, along with its settings, logo and bank details.
  4. Every user account attached to that client is removed too, so those people lose their sign-in.
No undo
If you are unsure, deactivate. Deleting is genuinely permanent — there is no undo, no archive and no recycle bin. Deactivating costs nothing and is reversible in one click.

A repair tool, not part of normal use. It re-uploads the client list, the user roster and each client's settings and invoice configuration from this browser to the server. The banner only appears when Quillix can reach the server.

  1. Use it if you created clients while offline, or from a local copy of the app, and they are not showing up on another machine.
  2. Click Push All Data to Cloud and wait for the confirmation, which reports how many collections were pushed.
Note
It does not push sales, customers, stock or ledgers — those sync on their own as you work. This is for the register itself.
