Users by Client

Where Sidebar Client Management Users by Client

Every login in your firm, in one place — your own partners and associates, and the client-side staff who work in each set of books. The firm controls who reaches a client's data, not the client.

First
You never choose or see anyone's password. Quillix emails every new person a link to set their own, and that same link verifies their email address — which is why an email address is mandatory rather than a nicety.

Creates a real sign-in for someone who works at the client — either an Admin who manages that client, or a User for day-to-day data entry.

  1. Click the client's card to open its user list, then Add New User.
  2. Enter their full name, a username, and their email address. The email is required — it is what they actually sign in with.
  3. Choose Admin to let them manage that client, or User for limited, data-entry access.
  4. Save. Quillix emails them a link to set their own password.

The client cards show, at a glance, how many admins and how many users each client has, and whether the client itself is active.

  1. Use the search box to filter by client name or code.
  2. Read the two badges on each card for the admin and user counts.
  3. Click a card to open the full list of that client's users.
Note
A card showing zero admins and zero users means nobody at that client can sign in yet. That is the normal state of a client you have just created.

Creates a login for someone in your own firm, from the Platform Team card. A partner has full platform access; an associate is restricted to the clients you explicitly assign them.

  1. In the Platform Team card, click Add Partner / Manager or Add Associate.
  2. Enter name, username and email as for any other user.
  3. For an associate, tick the clients they are allowed to work on. At least one is required — Quillix refuses to save without it.
  4. For a partner, leave every client unticked to grant access to all clients including ones you add later, or tick specific clients to scope them.
  5. Save. They get a set-password link by email, exactly like client-side users.
The difference matters
An unticked partner keeps access to clients created in future. An associate only ever sees the clients on their list — including none, if you forget to add the new client to it.

The Platform Team table's Client Access column spells out each person's reach, and calls out an associate who has been left with nothing assigned.

  1. Read the Client Access column. A partner shows either the named clients or All clients.
  2. An associate shows their assigned clients, or a red No clients assigned warning.
  3. Click the edit icon on the row to change the assignment.
Note
An associate with no clients assigned cannot do any work at all — they sign in to an empty client list. That red warning is the fastest thing on this page to act on.

Sends a password-reset link to the email on the account. This is the only way to change a password — there is no field anywhere in Quillix that sets one directly.

  1. Open the person's row with the edit icon.
  2. Click Send password reset email in the Password box.
  3. They receive a link and choose a new password themselves.
If it fails
If Quillix reports that no account exists for that email, the address on the profile does not match the one their sign-in was created with. Correct the email on the profile first, then resend — sending again to the wrong address will keep failing.

Reopens the same form against an existing person. Changing an associate's assigned clients takes effect the next time their session loads their profile, not the instant you save.

  1. Click the edit icon on their row, change what you need, and Save.
  2. Watch for the confirmation. If Quillix reports that it could not sync the profile, the change has not reached them — retry rather than assuming it saved.
Why that warning exists
An access change that silently failed would leave you believing an associate has access they do not have — or has lost access they still hold. Read the confirmation; do not assume.

Deletes the person and revokes their sign-in. They lose access to your data immediately and that email can no longer log in.

  1. Click the delete icon on their row and confirm.
  2. Read the confirmation message that follows. It tells you whether both halves succeeded.
Read the result
If it says access was removed but the sign-in could not be revoked, take it at face value: they can no longer see any data, but the credential itself still exists and support needs to finish the job. Separately — you cannot delete the only partner. Promote someone else first.
