The store's live invoice register — search, filter, sort, edit, cancel, flag and audit every sale, plus a separate register for credit and debit notes and the approval workflow around edits and deletions.

First
Filter to a month before reading the totals. They follow whatever filter is applied, which is what makes them a quick cross-check against the return for that period — and what makes an unfiltered total meaningless for reconciling.

Credit & Debit Notes
A separate register for notes only, with running Taxable / CGST / SGST / IGST / Note Value totals — credit notes net negative, debit notes positive.
Approvals
Edit requests and bulk-deletion requests. Only admins and auditors see the actual queue and can action requests; everyone else sees the status of their own requests here.
Audit Log
A timestamped trail of every edit (with a field-level diff), cancellation (with reason), restore and permanent delete on this store. Searchable, and exportable to CSV.
  1. Read taxable value when reconciling to GSTR-1 — that is the figure the return reports.
  2. Read output GST as the tax the client has charged and owes, before any input credit is set against it.

Text, date range, column values and sort order — all of which combine rather than replacing one another.

  1. Type in the search box to match on invoice number, customer name or GSTIN. The table filters as you type.
  2. Pick a From Date and/or To Date to restrict the list to a range.
  3. Click the small filter icon beside Invoice No, Date, Customer, GSTIN or Status for an Excel-style value picker — tick and untick values, search within them, use Select All or Clear, then click Done.
  4. Click Newest first to flip the sort order. The button always names the order currently applied.
  5. Clear All Filters resets the search box, the dates and every column filter at once. It only appears once at least one filter is active.
If the list looks empty
Active column filters appear as removable chips above the table. Check the chips before concluding the data is missing — a filter left on from ten minutes ago looks exactly like an empty register.
  1. Click Edit on any committed invoice to open every field and line item.
  2. If you do not have direct edit rights the button reads Request — click it, type why you need the change, and submit. The row switches to Edit automatically once an admin or auditor approves.
  3. Inside the editor, add or change rows, then click Save All Changes. Quillix recalculates tax on every line, overwrites the invoice, and writes a field-level diff to the Audit Log.
  4. Edit Address corrects the Bill-To and Ship-To already saved, without reopening the line-item editor. Clearing the Ship-To field removes that block from the printed invoice entirely.
One field never changes
The Invoice Number stays locked. It is the record's identifier, and everything else on the invoice can be corrected around it.
  1. Open an invoice and click Print for a print-ready layout in a new tab, laid out per GST Rule 48.
  2. Or Download PDF, then pick Original / Duplicate / Triplicate — or all three as a ZIP — for an invoice, or Normal / Letterhead for a note.
  3. Click the flag icon to mark an invoice with a severity and comment for follow-up. It is visible to anyone with access to this store, shows on hover, and the same icon reopens the form to edit or resolve it.
Why triplicate
Rule 48 of the CGST Rules 2017 requires a tax invoice for goods to be issued in triplicate, which is why the copy designation is stamped on the PDF. Both buttons are hidden entirely for GST-only stores — they file from invoices issued elsewhere, so there is nothing to print from Quillix.

Cancel, restore and delete Auditor, admin

Cancel soft-deletes an invoice — it stays in the register marked cancelled, the number stays in sequence, and the mandatory reason goes to the Audit Log. Restore reverses it. This is almost always the right choice over Delete.

  1. Click Cancel and type a mandatory reason.
  2. Delete permanently removes an invoice or note. For a single invoice, Quillix requires typing the invoice number to confirm.
  3. The deleted number is never reused and no other invoice is renumbered — the gap simply stays.
Why the gap stays
A GST invoice number is held by your customer and reported in GSTR-1, so Quillix never shifts one to close a gap. A tidy sequence is not worth a number that disagrees with the copy in someone else's file.

Bulk delete and approvals Auditor, admin

  1. Tick individual rows, or the header checkbox for the whole page, and click Delete N invoice(s) in the sticky bar at the bottom.
  2. The request goes to the opposite role for approval — an auditor asks an admin, an admin asks an auditor.
  3. On the Approvals tab, click Approve to grant a pending request — the change or delete executes immediately — or Reject / Deny to decline, optionally with a reason. The requester is notified either way.
One-person firms have no second pair of eyes
If the firm has no opposite-role peer to approve it, the delete runs immediately instead, behind a typed DELETE confirmation. Treat that confirmation as the only safeguard, because it is.
