Your first client
Nothing here is new material — it is the order to do things in, with a link to the detail at each step. Follow it once and the shape of the app makes sense; after that you will only need the individual pages.
1 · Create the client
In Manage Clients, click Add. Name and a short Code are the only required fields; enter the GSTIN if you have it, because Quillix validates the format here rather than at filing time.
The client is created active, with no users.
2 · Give people logins
In Users by Client, add the client's own admin and users if they will be working in Quillix — and add your own associates, ticking the clients each is allowed to work on.
Everyone gets an email link to set their own password. Skip this entirely for a GST Filing only client: nobody there needs an account.
3 · Open their books
From Load Client Data, click Open Store. The whole sidebar becomes that client's own pages, and the top bar names who you are working inside.
4 · Set up the masters before the transactions
This is the step it is tempting to skip, and the one that costs the most when you do — a customer with no GSTIN cannot be a B2B invoice, and an item with the wrong HSN files a wrong return.
-
Sales Masters — customers, their registration type and place of supply. Watch the Missing GSTIN count.
-
Items — descriptions, HSN or SAC codes, GST rates, and opening stock if the client tracks inventory. Run Verify HSN with AI over an imported list.
-
Purchase Masters — vendors, and the expense categories that will classify every overhead. Quillix seeds 56 of those for you.
-
Settings — document numbering to match the series the client already uses, and the Tally ledger defaults.
5 · Get the month's transactions in
There are three routes, and which you use depends on the engagement rather than on preference.
- The client bills in Quillix
- They raise documents from New Sale as they go. You book the inward side from New Purchase and New Other Expense.
- You have a spreadsheet
- Bulk Import for a full-service client, or GST Filing Import for a GST-only one.
- You have a pile of paper
- Sales OCR and Purchase OCR read the scans and put the review in front of you.
6 · File, then export
-
Run the pre-filing checks and download the JSON from GSTR-1.
-
Check GSTR-3B, and reconcile 2A / 2B so the client claims what they are entitled to and nothing they are not.
-
Submit on the portal, then mark the client Filed on the GSTR-1 Status tracker — which locks that period's invoices against later edits.
-
Export to Tally when the books need to land in the client's own company file.
