Invoice Customisation

Where Sidebar Invoicing Invoice Customisation

Designs the client's invoice — layout, logo, colours, which columns appear, terms and the signature block. Every document produced anywhere in Quillix for this client is rendered from what you set here. Admins and auditors only.

Work with the preview open
It is the fastest way to see what a toggle actually does, and it renders with the same engine the finished document uses — so what you see is what prints.

Two separate templates behind one page. Tax Invoice and Credit / Debit Note each carry their own design and their own set of header fields.

  1. Use the Tax Invoice and Credit / Debit Note buttons at the top to switch which document you are designing.
  2. Set the invoice up first, then switch to the note and check it reads correctly.
  3. The note template offers a different set of header fields, because a note refers back to an original invoice.
Easy to miss
Changes made while Tax Invoice is selected do not touch the note template at all. A client whose invoice looks right can still have a completely unstyled credit note — check both before you call it done.

Three finished designs, each a different character rather than a different set of features.

Classic
A formal, fully-bordered GST tax invoice with a CGST/SGST breakdown matrix.
Compact
Minimal and borderless — light rules and generous whitespace.
Professional
Polished and accent-coloured, with a highlighted Grand Total band.
  1. Open Template & Colours and choose one of the three.
  2. Start from a built-in preset if you want — Corporate Navy, Modern Teal, Maroon, Forest or Slate. Each sets both an accent colour and a font.
  3. Or set the accent colour yourself and pick the font family: sans, serif or mono.
  1. Open Letterhead & Print to upload the logo and set how the document prints.
  2. Open Seller / Letterhead for the printed name, address and contact details.
  3. Open Signatures & Footer to upload a signature or seal image.

Controls which columns the line-item table carries — the optional ones like batch, unit of measure and MRP that some trades need and others do not.

  1. Open Items Table and toggle the columns you want.
  2. Check the preview afterwards, especially on a long invoice.
Turning a column off can make the invoice longer
Switching the Unit column off does not simply save space — the quantity cell then carries its unit inline, which makes rows taller and can push a long invoice onto another page. Look at a real invoice before you settle on it.

Each part of the invoice has its own collapsible section, so you work on one thing at a time. Only one is open at a time by design.

  1. Invoice Details (the tiles) — which facts appear in the header tiles, and in what order. Use the move up and move down controls to reorder them.
  2. Document Title, Bill To / Ship To, Tax & Totals, Bank Details and Terms & Declaration each control their own block.
  3. Select any slot to make it bolder, larger or smaller without changing the layout — or delete it entirely if the client does not want that detail printed.
  4. Drag a column edge in the preview to set item-table widths directly, with a reset control to put every width back to default. Zoom the preview or fit it to the pane to work more precisely.
Two judgement calls
Put whatever the client's customers actually look for first among the header tiles — for a business working on purchase orders, that is usually the PO reference rather than the invoice number. And give the description column the room: it is the one that wraps, and wrapped rows are what push a long invoice onto an extra page.
  1. Set the invoice up the way you want it, then choose Save current to keep it as a preset.
  2. Apply a preset from the list to start another client from it.
  3. Use the revert control to undo where you have got to, then check the preview to confirm it is back where you wanted.
A preset is a copy, not a link
Applying one copies its settings. Changing the preset later does not reach back into clients already using it.
