Where Sidebar Purchases Purchases & Expenses

One history for everything the client bought. Stock purchases and overheads were once two separate pages, but they answer the same question — what came in, and what input credit did we claim on it.

The fastest audit on this page
Filter by ITC Class → Blocked 17(5) and you are looking at exactly the credit the client cannot claim. It is the quickest way to sanity-check a credit position without opening a single bill.

Narrows a full year of inward supply down to what you are looking for. Every filter combines with the others.

  1. Type in the search box to match on bill number, vendor name, vendor GSTIN or category.
  2. Set a From and To date to bound the period.
  3. Filter by category, or by ITC class — Eligible, Capital, Blocked 17(5), Partial, RCM or Exempt.
  4. Use the date-order button to flip between newest and oldest first. Clear Filters appears once anything is set and resets everything at once.

Each row shows its type, bill number, vendor, category, date, taxable value, GST, total, eligible ITC, and its reconciliation and payment status.

  1. The Type badge tells you whether it came from New Purchase or New Other Expense.
  2. Eligible ITC is the per-transaction credit after any blocking, reversal or apportionment.
  3. Source shows where the record came from — useful for telling an OCR-captured bill from a typed one.
  4. Payment reads Paid, Partial or Unpaid, so you can see what is still owed without leaving the list.
Payment status is a label, not a settlement
Set it by opening the purchase and editing it. It is a status on the record — matching actual money to bills happens in Bank Reconciliation, and the ageing view lives in Payables & Receivables.

A purchase opens as a full bill — every line with its HSN, quantity, rate, discount, GST rate and ITC class — and can be edited in place.

  1. Click the row to open the bill, then click Edit to make the lines editable.
  2. Change any line, or use Add line and the × on a line to change the bill's shape.
  3. Adjust the header if needed — bill number, vendor GSTIN, bill discount, round off.
  4. Click Save Changes. A bill number and at least one line are required.
It closes the flag too
Correcting a bill here clears any matching Data Integrity flag on it automatically. You do not need to go anywhere else to close that off.

An expense opens as its classification trail rather than a line editor — the category, the ITC class it resolved to, and where the amount lands in GSTR-3B.

  1. Click the row to see how the expense was classified and what credit it produced.
  2. To change an expense, delete it here and re-enter it from New Other Expense.
Why the two behave differently
A purchase is a document with lines you can correct. An expense is a single classified amount — its category is the thing that was decided, so re-picking it is re-entering it.
  1. Select the rows you want to remove and confirm the deletion. Available singly or in bulk.
  2. Deleting also removes whatever input credit that record contributed, so the client's ITC position changes immediately.
Check the return period first
Deleting a bill that has already been reported changes a figure you have filed. The deletion itself will not warn you about that.
